Privacy Notice for Candidates

In order to progress your application, for administrative purposes we will record, keep, and hold the personal data which you have provided in the online application form or via a third party supplier stored in our Human Resources files. Your data will not be transferred to any third parties outside of our group companies. Your personal data may be stored outside of the EEA for the purposes of processing your application, for example because our applications system, Greenhouse, is hosted in the USA. If we do store your personal information outside of the EEA, we will do so using one of the adequate safeguards permitted by regulators for transfers of personal data outside of the EEA, for example we may use the appropriate safeguard of the model contractual clauses approved by regulators.

If your application is successful, we will hold this data as part of your employee record, and you will be provided with a copy of our Employee Privacy Notice. In the event that your application is unsuccessful, we will hold the application form and the data contained in it for twelve months. This is in case of a future vacancy which we may invite you to apply for and for the establishment, exercise or defence of any legal claims.

As we are a growing company with an exciting pipeline, it’s likely that we will have other vacancies that may be of interest to you in the future. With your permission, we would like to hold your application details for a further five years in addition to our standard twelve month retention period to allow us to consider your candidacy for relevant future vacancies.

If you do not consent to this, after twelve months, we will delete your application form, the data contained within it and any other personal data that you may have provided to us.

If you apply directly to Kyowa Kirin via our Careers page or third party job boards, you will be asked for your consent to the additional five year retention period as part of the application process.

If you apply via a recruitment agency, headhunter or other third party supplier, you will not be asked during the application process for your consent to the additional five year retention period. When your application concludes we will contact you via the third party that submitted your application to advise you of the outcome of your application and to request that you contact us by email if you would like to give your consent to the additional five year retention period.

Alternatively, if you would like to advise your consent in advance, you can do so by emailing our Talent Acquisition Team at who will add your instruction to your profile on our applications system.
